Sound familiar?

Ecommerce admin eating into time you do not have?

Selling across Amazon, Shopify, Etsy, or your own store generates a lot of financial activity. Settlement reports, marketplace fees, refunds, and cross-border VAT all need to land somewhere accurate. Most general accountants are not set up for it, which means things get missed or left until the end of the year when they become harder to fix.

  • ✕ Hours lost reconciling marketplace payouts against your bank each month
  • ✕ Unsure whether you have crossed the VAT registration threshold yet
  • ✕ Self Assessment filed late or without full expenses because the records were a mess

What sorted looks like

Ecommerce bookkeeping done monthly means your numbers are current, your VAT position is visible, and your tax bill is not a surprise. The year-end process becomes straightforward rather than a reconstruction exercise.

  • ✓ Marketplace income reconciled and books current every month
  • ✓ VAT threshold tracked so you know exactly where you stand
  • ✓ Self Assessment prepared accurately with all allowable expenses applied
  • ✓ Fixed monthly fee covering all of the above, no surprise invoices

What you get

Ecommerce accounting from month one

Three core service areas that cover what online sellers actually need, priced clearly and delivered on a fixed monthly retainer or per-return basis.

01

Bookkeeping and VAT Compliance

Your sales channels are connected and your books are reconciled monthly using Xero or QuickBooks Online. VAT returns are filed on time under Making Tax Digital, and your registration position is monitored so you are never caught out by crossing the threshold without warning.

Included as standard
02

Self Assessment and Corporation Tax

Whether you trade as a sole trader or through a limited company, your tax return is prepared with all allowable expenses correctly applied. You will know your liability well before the filing deadline, not the week before payment is due.

For sole traders and limited companies
03

Management Accounts and Advisory

Quarterly management accounts give you a clear view of gross margin, cost of goods sold, and cash position across your sales channels. Where there are decisions to be made about pricing, stock, or structure, you have a commercial sounding board who already understands how your business works.

Why Supreme Consulting

Why ecommerce sellers choose us over a general accountant

Most accountants can file a tax return. Fewer understand how settlement cycles, marketplace fees, and cross-border VAT interact. That gap is where things tend to go wrong.

🛒

No explaining how marketplaces work

We work with Amazon, Shopify, Etsy, and other marketplace sellers as part of our regular practice. FBA fees, referral charges, payout timing, and the way settlement reports differ from bank deposits are already familiar territory. You will not spend the first three meetings bringing us up to speed.

☁️

Cloud books that stay current

Your accounts are maintained in Xero or QuickBooks Online, connected directly to your sales channels where possible. That means your VAT position, cash balance, and gross margin are visible in real time, not reconstructed at year end from a spreadsheet you stopped updating in March.

💷

Fixed fee, no hourly surprises

Every service is quoted upfront on a fixed-fee basis. You know what you are paying before any work begins. There are no charges for phone calls, no add-ons buried in the small print, and no invoice that is larger than the one you agreed to.

Getting started

Up and running in four steps

The process is designed to be straightforward. Most clients are fully onboarded within two weeks of their first call, with their books clean and their VAT position known.

1

A brief discovery call

We spend 20 to 30 minutes understanding your business: which platforms you sell on, how your books currently stand, and what you actually need from an accountant. There is no obligation and no pitch.

2

A fixed-fee proposal

You receive a written proposal covering exactly what is included, what the monthly fee is, and what the timelines look like. Nothing is left ambiguous. If the scope changes, that conversation happens before any additional work begins.

3

Onboarding and clean-up

We handle the transition from your previous accountant and migrate your records to the cloud. If your books need catching up, that is scoped and priced separately and honestly at the outset. You do not need to do much beyond providing access.

4

Ongoing, with less to think about

From month one, your books are maintained, your VAT is filed, and your tax position is visible. Questions get answered the day you ask them. The parts of running a business that previously sat at the back of your mind largely stop sitting there.

Questions

Things ecommerce sellers usually ask us

Do you understand how Amazon and other marketplace payouts actually work?+

Yes. Settlement reports, FBA storage and fulfilment fees, referral charges, and the timing difference between a sale and a payout are all familiar to us. We reconcile marketplace accounts monthly so the figures in your books reflect what actually happened, not just what landed in your bank account. If you sell across multiple channels, we handle those too.

What does it cost, and what is included?+

All fees are fixed and quoted upfront based on the scope of work. A typical ecommerce package covering monthly bookkeeping, quarterly VAT returns, and year-end accounts or Self Assessment will be quoted clearly before any work begins. If your books need catching up before we can start, that is scoped and priced separately. There are no hourly rates and no charges for routine questions.

My books are a mess. Is that a problem?+

It is a common starting point. We will assess the state of your records during the discovery call and give you an honest picture of what a catch-up involves and what it will cost. Once that work is done, your books are current and the monthly maintenance cost drops to the ongoing retainer. Most clients find it straightforward once someone is actually looking at the numbers.

Is there a minimum contract or lock-in period?+

No long-term contract is required. If you decide after three months that it is not working, you leave with clean books and nothing further owed. We prefer clients who stay because the service is useful, not because leaving is complicated.

How do you handle VAT for sales to overseas customers?+

Cross-border VAT for ecommerce sellers is an area that catches many businesses out, particularly since the UK OSS and EU VAT rules changed. We will review your customer base and sales volumes to identify any obligations outside the UK and advise on what registrations, if any, are needed. It is better to get clarity on this early than to receive a question from HMRC later.

Can you help me understand what my tax bill is likely to be before year end?+

Yes. With monthly bookkeeping in place, your profit position is visible throughout the year rather than only at the point of filing. That means you can plan around your likely liability and, where appropriate, take steps to manage it within HMRC’s rules. Surprises are largely avoidable when the numbers are current.
