Ecommerce Business Accounting

Ecommerce Business Accounting

Your ecommerce accounts, handled properly.

Running an online shop means juggling platform fees, settlement reports, inventory costs, and VAT obligations that most accountants have never looked at closely. We work with ecommerce sellers regularly and already understand how the numbers stack up. Fixed monthly fee, cloud-based from day one, and questions answered within one working day.

  • VAT threshold monitored — no unexpected registration obligations
  • Marketplace fees and payouts reconciled, not guessed at
  • Corporation tax or Self Assessment handled well before the deadline
  • Your books current every month, not a year-end scramble

No long-term contract. If it is not working after three months, you leave with clean books and nothing owed.

Sound familiar?

eCommerce admin adding up faster than your margins?

Online selling involves more moving parts than most accountants are set up for. Platform settlements arrive in lumps with fees already deducted. Stock sits on your balance sheet in ways your bookkeeping software does not automatically handle. VAT gets complicated the moment you start selling across borders. And somewhere in the background, a tax bill is accumulating that nobody has quantified yet.

  • ✕ Hours lost trying to reconcile marketplace payouts against your bank statements
  • ✕ VAT obligations unclear as sales volumes and platforms grow
  • ✕ No clear picture of what the business actually made last quarter

What a properly sorted ecommerce set-up looks like

With the right cloud accounting structure and an accountant who already understands how platforms pay out, the admin shrinks considerably. Compliance is handled on schedule, and you have a clear monthly picture of your numbers.

  • ✓ Marketplace settlements reconciled accurately every month, without you explaining how payouts work
  • ✓ VAT threshold tracked and obligations managed as your sales grow
  • ✓ Quarterly management accounts so you know your position before the year ends
  • ✓ Fixed monthly fee — no invoice surprises, no hourly guesswork

What you get

Everything an ecommerce business needs

Services are scoped to your business and priced as a fixed monthly retainer or a clear one-off fee — nothing open-ended.

01

Cloud Bookkeeping and Reconciliation

Your accounts are kept up to date on Xero or QuickBooks Online every month, with platform fees, refunds, and settlement reports properly accounted for. You will not reach year-end facing months of catch-up work. Real-time visibility means you can see where the business stands without asking.

Included as standard
02

VAT Returns and MTD Compliance

Quarterly VAT returns submitted accurately and on time under Making Tax Digital. If you are approaching the registration threshold, you will know before you cross it. Cross-border VAT obligations, including OSS and distance selling rules, are handled as part of the service where relevant.

MTD-compliant
03

Year-End Accounts and Tax

Limited company accounts, corporation tax return, and confirmation statement filed on schedule. For sole traders, your Self Assessment is prepared with a full review of allowable expenses and any tax planning available to you. Your tax liability is confirmed well ahead of the payment deadline — not the week before.

Why Supreme Consulting

What makes a practical difference for ecommerce sellers

These are the things that tend to matter once you have been through the process of switching accountants.

🛒

No explaining how platforms work

We work with online sellers across Amazon, Shopify, eBay, Etsy, and other marketplaces. FBA fees, referral charges, settlement reports, and inventory adjustments are not new concepts you will need to walk us through. That alone saves a considerable amount of time at year-end.

☁️

Books that stay current

We are certified in Xero and QuickBooks Online and connect them directly to your sales platforms wherever possible. Your figures are updated monthly, not quarterly, so you always have a working picture of your margins and tax position. The year-end closes with considerably less friction.

💷

Fixed price, agreed upfront

Every engagement starts with a clear, written scope and a fixed monthly fee. There are no surprise invoices when your transaction volume increases or when HMRC asks a question. If scope changes, you are told before any additional cost is incurred, not afterwards.

Getting started

Up and running in four steps

The process is designed to be straightforward on your end. Most of the heavy lifting happens on ours.

1

A short discovery call

We start with a no-obligation conversation to understand your business, which platforms you sell on, your current setup, and what you actually need. It takes around 20 minutes. You will leave knowing what a sensible solution looks like.

2

A clear, fixed proposal

You receive a written proposal covering the scope of services, what is included, and the monthly or one-off fee. No ambiguity about what is and is not covered. If the scope does not fit, we say so.

3

We handle the migration

We contact your previous accountant, transfer the records, migrate your bookkeeping to the cloud, and connect your sales platforms. If your books are behind or in poor shape, we tidy them up as part of onboarding.

4

Your finances running properly

Monthly books, quarterly VAT, annual accounts, and proactive check-ins throughout the year. Less time on admin, a clearer view of your numbers, and considerably less to think about when the filing deadlines arrive.

Questions

Things ecommerce sellers usually ask first

Do you actually understand how Amazon, Shopify, and other marketplace payouts work?+

Yes. Platform settlement reports, FBA storage and fulfilment fees, referral charges, and the timing mismatch between sales and payouts are all part of the day-to-day work. We connect your sales platforms to Xero or QuickBooks Online and reconcile the figures monthly, which means you do not need to explain the mechanics of how Amazon pays out before getting a useful answer.

What does ecommerce accounting cost and what is included?+

Pricing is fixed and agreed in writing before we start. The fee depends on your sales volume, the number of platforms you sell on, and the services required — bookkeeping, VAT, payroll, and year-end accounts each have a clear scope. There are no hourly rates or open-ended arrangements. You will receive a written proposal after the discovery call so you know exactly what you are paying for.

My books are behind and in a mess. Is that a problem?+

It is a common starting point. Catch-up bookkeeping is included in onboarding for most clients. If the backlog is significant, we will tell you upfront what that involves and what it costs before any work begins. Most sellers are in a cleaner position within a few weeks of switching.

Is there a long-term contract?+

No. Monthly rolling arrangements are the default. If the service is not working for you, you give notice and leave with your records in good order. We would rather earn the relationship than lock it in.

What about VAT on cross-border sales — EU, OSS, and international?+

Cross-border VAT is one of the more complicated areas for online sellers, particularly since the post-Brexit changes to distance selling rules and the introduction of the One Stop Shop scheme. We advise on UK VAT obligations, the OSS threshold for EU sales, and where VAT registration in other jurisdictions may apply. If your situation is complex, we will tell you clearly what is within scope and what requires specialist cross-border VAT advice.

Can you help me understand what my business is actually making each month?+

That is one of the more useful things accurate monthly bookkeeping does. With your platform data and bank reconciled every month, we can produce a clear profit and loss that accounts for returns, fees, and fulfilment costs. Quarterly management accounts are available as an add-on if you want a more structured review of margins, cash flow, and trading performance.
