Management accounts

Management Accounts

Know your numbers, every quarter.

Most owner-managed businesses find out how the year went when the accountant files the annual accounts. Management accounts change that: you see profit, cash position, and performance as the year unfolds, so decisions are based on current data rather than intuition. Fixed-fee retainer, cloud reporting via Xero or QuickBooks, replies within one working day.

  • Profit and loss reviewed quarterly, not just at year-end
  • Cash flow modelled so shortfalls appear before they arrive
  • Financial dashboards updated in real time via cloud accounting
  • Plain-English commentary on what the numbers actually mean

No long-term contract required. If the service is not useful after three months, you leave with tidy books and nothing outstanding.

Sound familiar?

Still not sure what this year’s profit looks like?

For most small businesses, the financial picture only comes into focus when the year-end accounts land, often months after the period closed. By then, the decisions have already been made. Hiring, pricing, investment, drawings — all judged against a bank balance rather than actual figures. It is a reasonable way to run things until something goes wrong.

  • ✕ Profit figure unknown until the accountant files twelve months later
  • ✕ Cash flow surprises arriving with little warning and no forward model
  • ✕ Decisions made from the bank balance rather than a current P&L

What a quarterly financial picture looks like

Management accounts close that gap. Every quarter you receive a clear profit and loss statement, a balance sheet, and a cash flow position, with commentary that explains what has changed and why. The numbers are current, and you know where you stand before committing to anything significant.

  • ✓ Quarterly P&L and balance sheet so profit is visible throughout the year
  • ✓ Cash flow modelling updated each period, with pressure months flagged in advance
  • ✓ Decisions supported by current financial data, not last month’s bank statement
  • ✓ Fixed monthly retainer, no hourly billing, no invoice surprises

What you get

What the management accounts service covers

Three components, delivered quarterly on a fixed retainer, with cloud reporting running in the background between periods.

01

Quarterly Management Accounts

Each quarter you receive a profit and loss statement, balance sheet, and period comparison, prepared from your cloud accounting records. Plain-English commentary is included — not just the numbers, but what they indicate about trading performance and where attention is warranted.

Core deliverable
02

Cash Flow Modelling and Forecasting

A rolling cash flow model is maintained alongside your management accounts, updated each period and adjusted for known commitments, seasonal patterns, and planned expenditure. Pressure months are visible well before they arrive, which means options remain open rather than disappearing under urgency.

Included in retainer
03

Financial Dashboards and Profitability Reviews

Your Xero or QuickBooks data feeds into a live dashboard so the headline figures are accessible between formal reporting periods, not just when the quarterly pack lands. Profitability by product, service line, or cost centre can be reviewed where the chart of accounts supports it, giving you a clearer view of where margin is actually made.

Why Supreme Consulting

What makes this service worth switching for

There are plenty of accountants who will file your annual accounts. Fewer who will tell you what is actually happening in the business while there is still time to act on it.

📊

Numbers explained, not just produced

A set of management accounts that lands without commentary is about as useful as a bank statement you have not read. Every quarterly pack comes with plain-English notes on performance, margin, and any figures that warrant attention. The goal is that you finish reading it knowing what to do next, not needing to ring someone to translate it.

☁️

Live data between reporting periods

Xero and QuickBooks Online keep your figures current between formal quarters, so you are not flying blind in month two of three. Certified in both platforms, we configure the chart of accounts and reporting categories from the outset so the data is clean, consistent, and actually comparable period on period.

📅

Over two decades of commercial context

Founded in 2005, Supreme Consulting has worked with owner-managed businesses through multiple economic cycles. That background matters when interpreting management accounts: a margin contraction or a working capital movement means something different depending on the business model, the sector, and what has changed recently. The commentary reflects that experience.

Getting started

Up and running in four straightforward steps

The onboarding process is designed to require as little from you as possible, particularly if your books are in reasonable order.

1

A brief discovery call

We start with a no-obligation conversation to understand your business, your current reporting setup, and what you would find most useful from quarterly management accounts. No preparation needed on your part — it is an informal thirty-minute call.

2

A clear, fixed-fee proposal

You receive a written proposal setting out exactly what is included, the reporting frequency, the quarterly deliverables, and the monthly retainer cost. No hourly rates, no scope creep, no surprises on the invoice.

3

Onboarding and cloud setup

We connect to your Xero or QuickBooks account, review the chart of accounts, and set up the reporting categories needed for meaningful management accounts. If records need tidying before reporting begins, we will say so upfront and agree a catch-up scope.

4

Quarterly accounts, ongoing clarity

Each quarter your management accounts pack arrives with current P&L, balance sheet, cash flow position, and commentary. You know where the business stands, what has changed, and what warrants attention — which is considerably more than most owner-managers have access to.

Questions

Things people usually ask before starting

What is actually included in quarterly management accounts?+

Each quarter you receive a profit and loss statement, a balance sheet, and a cash flow summary, along with written commentary covering trading performance, significant variances, and anything that warrants attention. The format is consistent period on period so comparisons are straightforward. Additional reporting — by cost centre, product line, or project — can be added where the underlying data supports it.

How is the service priced and what is included in the retainer?+

Management accounts are priced as a fixed monthly retainer, agreed in advance based on the complexity of your business and the scope of reporting required. The retainer covers quarterly pack preparation, cash flow modelling, and the cloud accounting maintenance needed to keep the data current. There are no hourly rates and no additional charges for the time spent on commentary or review calls.

My books are behind. Can you still set up management accounts?+

Yes, though the first step would be to bring the records current before meaningful reporting can begin. We will assess what needs doing and provide a separate catch-up quote alongside the retainer proposal, so you know the full cost before committing to either. Once the books are clean, the quarterly cycle starts from a reliable baseline.

Is there a minimum contract or notice period?+

There is no long-term contract. We ask for a short notice period, typically one month, which is enough time to prepare a clean handover of records and reporting history if you decide to move elsewhere. Most clients stay because the service is useful, not because leaving is difficult.

How do management accounts differ from my year-end accounts?+

Year-end accounts are statutory documents prepared for HMRC and Companies House, typically months after the period has closed. Management accounts are internal reports prepared during the year so you can see the current trading position while it can still influence decisions. They follow broadly the same structure as statutory accounts but are produced more frequently and with a commentary layer that annual accounts do not include.

Can management accounts help with tax planning during the year?+

Quarterly figures make tax planning considerably more accurate. When you know the current profit position in October rather than the following April, there is time to consider pension contributions, director salary adjustments, and other planning steps before the year ends. Management accounts do not replace a dedicated tax planning conversation, but they provide the current data that makes that conversation worthwhile.
